Your Google reviews are often the first thing a new customer reads about you. The replies you leave under them are read too. A thoughtful answer thanks the person who took the time to write, and it shows everyone else that a real person runs the business and cares about how things went.
This guide gives you a simple routine for replying to every review, what to include, what to avoid, and examples you can adapt.
Why replying to reviews matters
- It builds trust. Shoppers compare businesses side by side, and a profile where the owner answers looks active and accountable.
- It turns a complaint into a second chance. A calm, helpful reply to a bad review often matters more to readers than the review itself.
- It keeps your profile fresh. Regular activity on your Google Business Profile is a healthy signal for customers and for Google.
- It tells you what to fix. Reading every review, good and bad, is free customer research.
How to reply to a Google review
You reply from your Google Business Profile: search for your business name on Google or open Google Maps while signed in as an owner or manager, go to Reviews, and choose Reply. Your reply is public and shows your business name.
A simple formula for every reply
- Thank the person, by first name if they used one.
- Mention something specific from their review, so it never reads like a copy and paste.
- Add one helpful detail: a fix, a next step, or an invitation to come back.
- Sign off with your name or role. People like knowing who answered.
Keep it short. Two to four sentences is enough for most reviews.
Examples for positive reviews
Thanks so much, Maria! We are glad the new brakes feel smooth and that the pickup was quick. See you at your next oil change. – Dan, Service Manager
Thank you for the kind words about Jess and the team. Your patio project was a fun one, and we are happy it was ready in time for the summer. – Lauren
We appreciate you choosing us for your daughter's first cleaning. Dr. Patel loved meeting her. See you both in six months!
A 5-star review with no text still deserves a short thank you: "Thanks for the 5 stars, Alex. We appreciate your support!"
Examples for mixed reviews
A 3- or 4-star review usually means something went well and something did not. Thank them for the good part and address the rest directly.
Thanks for the honest feedback, Chris. We are glad the haircut turned out great, and you are right that the wait was too long on Saturday. We have added a second stylist on weekends. We hope to see you again soon.
We appreciate you letting us know about the cold fries, Sam. That is not our standard. Next time, ask for the manager on duty and we will make it right on the spot.
Examples for negative reviews
For a 1- or 2-star review, the goal is not to win the argument. It is to show future customers that you take problems seriously and to move the conversation somewhere private.
Hi Taylor, I am sorry your appointment was rescheduled twice. That is frustrating, and it should not happen. I would like to hear more and make this right. Please call me directly at the front desk and ask for Nina, the office manager.

How fast should you reply?
Aim to reply within one or two business days. A quick response feels personal and helps you catch a problem before it grows. If that is hard, set a fixed time each week, for example Monday and Thursday mornings, and work through the new reviews in one sitting.
What to avoid
- Copying the same reply under every review. Readers notice, and it looks automated.
- Arguing about details in public, even if the customer is wrong.
- Sharing private information such as a patient's treatment, an order number or a customer's phone number.
- Offering discounts or gifts in exchange for changing a review. Google's policies do not allow incentives for reviews.
- Stuffing keywords or city names into replies. Write for people, not for search engines.
Save time without sounding like a robot
If you get more than a few reviews a week, drafting each reply from scratch adds up. NearVance brings your connected Google reviews into one queue and drafts a reply for each one in your business voice. You review, edit and approve before anything is posted, or set rules for the replies you trust.
